Operation

To monitor and control the use of common areas by the residents.

  • To monitor and control the use of common areas by the residents. Engaging the workforce of the building (i.e. security guards, cleaners, housekeeping, etc.
  • To design and implement a set of House Rules for the regulated use and enjoyment of the occupation and use of buildings, car parks, recreational facilities, etc.
  • To determine and place orders for operation signages, operational equipment and stock-in-hand maintenance materials and fittings such as floor tiles, paints, electrical and plumbing accessories.
  • To formulate management systems for the day to day operations, including defect and incident reporting, emergency repairs, complaint “Hotlines”, fire evacuation, entrance and exit control, effective communication, etc.
  • Scheduling working hours for the building maintenance employees, especially if shift work is involved.
  • To oversee the handover of premises to occupants and supervise fit out/alterations/renovations in accordance with the rules and regulations governing occupation.
  • To determine the required service and supplies contractors, i.e. cleaning, security, refuse collection, car park equipment maintenance, M&E system maintenance, and to prepare tender specifications and documents, tender out, analyse returned tenders, negotiate tender price and recommend/select contractors.

Insurance

To provide sufficient data to ensure adequate insurance coverage of the building is maintained.

  • To advise on the valuation for fire insurance and loss of rent prior to the annual expiry of the fire insurance policies.
  • To negotiate on the owner’s behalf on the terms of coverage and secure the best premiums possible.
  • To administer all claims permissible by the policies and to reinstate building, fixtures and fittings.

Finance

To review the system which is currently being used and to make necessary changes.

  • To review the system which is currently being used and to make necessary changes, if required, to ensure that an optimal accounting system is in place.
  • Issuance of demands for rent, service charges, management fees, insurance, utility charges, etc.
  • To pay on the owner’s behalf all expenditure pertaining to the management and maintenance of the building from the service charge collections.
  • To submit a comprehensive statement of account for the building to the owners at the end of each month.
  • To deliver a comprehensive and accurate financial report to the owners to be presented at the monthly meeting as well as the AGM.

Legal

To deal with all legal matters pertaining to the property.

  • To deal with all legal matters pertaining to the property, such as preparation and/or vetting of various agreements with service providers, instituting legal action against defaulters, etc.
  • To provide monthly legal reports to our clients detailing summaries of all legal actions taken.
  • To advise our clients to work within ambit of the law governing Building Management, mainly the Strata Management Act 2013 as well as the Strata Titles Act 1985 in relation to debt recovery and preparation and organising Annual General Meeting (AGM) and Extraordinary General Meeting (EGM).
